Dialogent, provided by Dialogent Inc. ("we", "us"), provides AI chat agents that businesses embed on their websites to answer questions, capture leads, and book appointments. This policy covers three situations: you have a Dialogent account, you chatted with a Dialogent-powered assistant on a business's website, or you are simply visiting dialogent.io.
The chat assistant you talked to belongs to the business whose website you were on. That business decides what the assistant does and is the controller of your data; Dialogent processes it on the business's behalf to provide the service. For questions about how the business uses your information, or to exercise your data rights, contact that business — we support them in fulfilling such requests.
On the business's behalf we process:
You are talking to an AI assistant, not a human, unless the conversation is handed off. AI responses are generated from the business's content and can be inaccurate — confirm important details with the business.
Account data: when you sign in we store your name, email, and workspace membership; authentication is handled by Google (Firebase). We keep an audit log of workspace activity and operational logs to run and secure the service.
Your content: agent playbooks, knowledge sources you connect (pages, files, FAQs), widget configuration, and the sessions, leads, and analytics your agents produce are stored so we can provide the service. Your content belongs to your workspace and is never shared across tenants or sold.
Billing: payments are processed by Stripe. We store your plan, usage counters, and a Stripe customer reference — never card numbers.
Integration credentials: credentials you connect (such as a Square access token) are encrypted at rest and used only to perform the actions you enable; they are not shared with our AI model providers.
Agent responses, guardrail checks, and lead extraction are computed by our processing engine. The text needed to fulfil a request — a visitor's question, relevant knowledge excerpts, conversation context — is sent to third-party large-language-model providers, including OpenAI, to generate the response. Under our API agreements these providers do not use this data to train their models.
We share data only with providers needed to run the service:
On dialogent.io we use an essential session cookie for sign-in and Google Analytics to understand site usage. The embedded chat widget stores a local identifier in the visitor's browser to keep the conversation continuous; it does not use advertising cookies or track visitors across unrelated websites.
Content and conversation data are retained while the owning workspace is active. Businesses can delete agents, knowledge sources, and their associated data from the dashboard; deleting an account removes its workspace data. Server access logs and database backups are kept for a limited period and then age out. To request deletion — including as a visitor, via the business you talked to — contact us at the address below.
The service is hosted on servers located in Canada, so your information is stored and processed there (and may be processed in other countries by the service providers listed above). Where required, we rely on appropriate safeguards for such transfers, such as adequacy decisions or standard contractual clauses with our service providers.
Depending on where you live, you may have rights to access, correct, delete, or export your personal data, and to object to or restrict certain processing. If you chatted with a business's assistant, direct requests to that business; otherwise contact us and we'll respond within the timelines required by applicable law. You can also complain to your local data-protection authority.
Dialogent is not directed at children and we do not knowingly collect children's data. Businesses must not deploy agents directed at children.
We may update this policy as the service evolves; material changes will be announced in the dashboard or by email. The date above reflects the latest revision.
